Levels of Accreditation Assistance

The following roughly describe the levels of help we offer for accreditation assistance. They are not rigid but are meant to help you think about various approaches to the process.

Level 1: Sample Policies and Forms
Sample policies and templates are available at a reasonable price. These may be purchased on an individual standard or group of standards basis (e.g. a section of the standards). They are not meant to be used "as is" but rather as a best practice sample that an organization can access to help upgrade their own policies and procedures.

Level 2: Policy and Procedure Review
After many requests, we are pleased to offer a review of any specific policy, procedure, or related forms on a per-policy or entire manual basis. This is ideal for an organization that has an operating manual with policies and procedures, but would like an expert opinion on the quality and degree of compliance with an accreditation standard or with the entire manual. We will provide suggestions on how to improve it.

We will collect some basic information about your agency in order to understand your mission, structure, and service philosophy. The review is conducted at our office and the results are emailed to you. We will then schedule a phone call or face-to-face meeting to discuss the results and recommendations. Level 3: Mock Survey Assessment & Guidance
A mock survey examines and scores compliance with the accreditation standards and results in a preliminary verbal report followed by a written report with recommendations. Depending on the number of locations and size of the organization, this usually requires 2-4 days on-site. On the last day we identify areas that need work and make specific recommendations.

Based on the results, an implementation plan is collaboratively developed to help the organization get from "here" to "there". Like a good roadmap, this step-by-step self-paced plan is based on the unique needs and resources of each agency. The roadmap structures the sequence of activities necessary to successfully prepare for accreditation. Once this plan is completed, we provide on-going support, information, and guidance.

In addition to the “self-paced road map”, we provide ongoing monitoring with the option to purchase a "system" (group of related policies, procedures and forms for a standard or group of standards) where significant deficiencies are noted. An example of "system" might be Process Improvement program policies and procedures.

Level 4: Full Accreditation Management
We provide on as well as off-site management of the accreditation planning and implementation process. This includes "hands on" systems assessments, organization-specific written policies, procedures, forms, staff training and help integrating accreditation as an on-going aspect of routine operations. We handle public notices, the accreditation application, work collaboratively with whomever you choose as your “internal point person”, set up committees, and directly participate in leadership and other committee meetings via phone conference and/or on-site. We provide written progress reports and “to do” task lists for all staff involved in the project.

We gather all existing policies, procedures, forms, program descriptions, marketing materials, outcome protocols, and use these, to the extent possible, as the framework or context in which we will develop the documentation and procedures required. We then train staff in implementing and troubleshooting all the procedures and protocols, and adjust policies and procedures for optimal efficiency within an organization’s specific service structure.

All policies, procedures, and forms are provided in both paper and electronic media so management can adjust them as the need arises and as standards change.
Finally, we conduct “mock surveys” prior to the actual site visit, noting all areas of deficiency. We then work directly with staff to correct the problem.
